Who this page is for
You work in calendars that belong to someone else. A client adds you to their Google Workspace, another gives you a Microsoft 365 login, a brokerage or agency has its own account, and your own life is on a personal calendar. This page covers that pattern, then the details for each kind of work:
- Freelancers: two or more clients, each with their own calendar.
- Consultants: overlapping engagements, each client blind to the others.
- Recruiters: interviews booked in agency, client and personal calendars.
- Virtual assistants: your own availability across the client accounts you work in.
- Real estate agents: showings booked into a brokerage calendar by other people.
The problem
None of these calendars can see the others. A meeting accepted in one account is invisible in the rest, so two people can both book Tuesday at ten, and you find out when both invitations are sitting in two different inboxes.
The fix cannot be “share everything”. What you do for one client is not the next client’s business.
How Hetk helps
Connect the accounts you can sign in to, then sync so every calendar knows when you are taken, and nothing more.
- Each client account → your own calendar, full detail. One-way syncs gather every meeting onto the calendar you actually look at.
- Your own calendar → a client account, details replaced with “Busy”. Your other work blocks that client’s calendar as “Busy”. No title, no location, no description.
A common setup
| Sync | Direction | Privacy | Purpose |
|---|---|---|---|
| Client A → Own calendar | One-way | None | Client A’s meetings on your calendar |
| Client B → Own calendar | One-way | None | Client B’s meetings on your calendar |
| Own calendar → Client A | One-way | Replace the details with “Busy” | Client A sees “Busy” for everything else |
That is three sync pairs, the Personal plan’s limit. Blocking time on Client B’s calendar as well is a fourth pair and needs Professional.
Why the privacy direction matters
Without the Replace the details with “Busy” setting, a sync from your own calendar would put “Workshop, Client B” on Client A’s calendar, where their staff can read it. With it, the copy says “Busy”, unless you choose a title template that adds the calendar’s name. Hetk also never copies the guest list onto a synced event, in any mode.
By kind of work
Freelancers
Freelancers collect calendars: one per client, plus your own bookings. With more than a few clients you will pass 3 sync pairs, so expect to need Professional. Your client list is your business, so every sync into a client’s calendar should use Replace the details with “Busy”.
Consultants
A consultant with three clients often has four calendars. Client A books you into a slot Client B already took, because neither calendar can see the other. The setup above fixes that: each client’s meetings come to you in full, and each client sees only that you are busy elsewhere.
Recruiters
A recruiter books interviews in an agency account, a client’s account and their own. An interview title often carries a candidate’s name, and a candidate interviewing with two of your clients has not agreed to either client knowing about the other. Sync your own calendar into each client’s with Replace the details with “Busy”. Because Hetk never copies the guest list, candidate email addresses do not travel either.
Hetk does not connect to an applicant tracking system (ATS). If your ATS writes interviews into a Google, Outlook or iCloud calendar, Hetk can sync that calendar.
Virtual assistants
Hetk keeps your calendars in step: the meetings you are in for each client come onto your own calendar, and time you have given to one client shows on another’s as “Busy”.
It is not a tool for managing a principal’s calendar on their behalf. It does not replace the delegate access Google and Outlook give an assistant, and it does not merge several executives’ calendars into one team view. A calendar that has been shared with you can be the source of a one-way sync; Hetk can write into it only if the provider gives you write access. If an executive wants their own work and personal calendars kept in step, that is their own Hetk account to set up; see calendar sync for executives.
Real estate agents
Showings get booked by other people, into a brokerage calendar. Sync it onto your personal calendar in full, so every showing is on your phone. Sync personal → brokerage with Replace the details with “Busy”, so whoever books your showings sees you are not free, without seeing “Dentist” or the address of your own house viewing.
Hetk does not connect to an MLS, a showing service, a CRM or a lockbox system. If one of them writes its appointments into a Google, Outlook or iCloud calendar, Hetk can sync that calendar onward.
What Hetk is not
Hetk syncs events between Google Calendar, Microsoft Outlook / 365 and Apple iCloud calendars, and only those. It is not a booking page, a time tracker, an invoicing tool or a project tool, and it does not send invitations or find free slots. It is for one person; there are no team plans.
Managed client accounts
A client, agency or brokerage account is often a managed Microsoft 365 or Google Workspace tenant that needs an admin to approve third-party apps. If you see “Need admin approval”, their IT department has to approve Hetk before you can connect that account; the admin consent guide has what to send them. If they will not approve it, you cannot connect that account. Your own personal accounts are not restricted this way.
Pricing
The Personal plan ($15/year) covers up to 3 sync pairs; Professional ($50/year) covers up to 8. A sync pair is one link between two calendars. Both plans start with a 21-day free trial, no card required.
Frequently asked questions
Can one client see what I am doing for another?
Not when the sync into that client’s calendar uses the Replace the details with “Busy” setting. They see a busy block with no title, location or description.
If a client cancels, does the copy on my calendar go away?
Yes. When the original event is deleted or cancelled, Hetk removes the copies it made.
Can I manage several executives’ calendars with one Hetk account?
Hetk is built for one person’s own calendars. You can connect each account you have a login for and sync its calendars, within your plan’s sync-pair limit; Hetk writes only into calendars you have write access to. It does not give you a combined view of other people’s schedules.
Does Hetk integrate with my ATS, MLS or CRM?
No. Hetk connects to Google, Outlook and iCloud calendars only. It can sync a calendar those tools already write into.
How fast does a change reach my other calendars?
Changes in Google Calendar and Outlook usually arrive within seconds, through push notifications. A safety check runs every 15 minutes in case a notification is missed. Apple iCloud has no push. Hetk checks iCloud every 5 minutes, and less often for a calendar that has been quiet.
