Who this page is for

Your work calendar is full of things other people must not read: client names, matters, filing deadlines, board business. Your personal calendar has school runs and doctor’s appointments. This page covers keeping the two in step without either leaking into the other, then the details for:

  • Lawyers: a firm calendar and a personal one.
  • Accountants and bookkeepers: the firm calendar, client calendars and your own, through busy season.
  • Executives: a company calendar, a board or second-company account, and a personal one.

The problem

You need each calendar to know when the other has you booked. You do not want a client’s name on your family’s shared calendar, or your medical appointment on a calendar the whole firm can read. Whoever books your time can usually see only one of your calendars, so they offer a slot that is already gone.

How Hetk helps

Connect the work account and your personal account, then sync each direction with the privacy it needs.

  • Personal → work, details replaced with “Busy”. Personal commitments block work time as “Busy”. Colleagues, and whoever books your meetings, see that you are out, not why.
  • Work → personal, details replaced with “Busy”. Work commitments block your personal calendar as “Busy”, so no client name or matter leaves the work system.

If only you can read your personal calendar, you can sync work → personal with full detail instead. That is your call, and your firm’s policy may make it for you.

A common setup

SyncDirectionPrivacyPurpose
Personal → WorkOne-wayReplace the details with “Busy”Personal time blocks work time as “Busy”
Work → PersonalOne-wayReplace the details with “Busy”Work time blocks personal time; no client details leave work

What Replace the details with “Busy” does

The copy’s title becomes “Busy”, unless you choose a title template that adds the calendar’s name. The description and location are cleared. Hetk never copies the guest list to a synced event, in any mode. What crosses over is the time block.

By kind of work

Lawyers

Hetk is not practice-management software. It does not connect to case-management, court-filing, docketing or billing systems, and it does not calculate deadlines. If your practice system writes events into a Google, Outlook or iCloud calendar, Hetk can sync that calendar.

Accountants and bookkeepers

An accountant’s calendar is a stack of other people’s deadlines: filing dates, client meetings, the firm’s shared calendar and your own commitments, all competing for the same hours. Busy season turns that into overlapping commitments.

Bring the firm calendar and any client calendar you can sign in to onto your personal calendar, so every booked commitment is in the place you watch and you see a conflict while there is still time to move something. Sync the other way with Replace the details with “Busy”, so “Call with Client B re: tax enquiry” reaches a shared calendar only as “Busy”.

Executives

An executive’s time is booked from several directions: the company calendar, a board seat or second company, and family. A typical setup is three syncs:

SyncDirectionPrivacyPurpose
Company → PersonalOne-wayNoneWork meetings on your own calendar
Personal → CompanyOne-wayReplace the details with “Busy”Personal time blocks work time as “Busy”
Board account → CompanyOne-wayReplace the details with “Busy”Board meetings block work time, details hidden

Your assistant does not need a Hetk account. The sync runs on your accounts; your assistant keeps working in the company calendar they already have access to, and now sees your other commitments there as busy blocks. Hetk does not schedule meetings, find free slots or manage an assistant’s access; that stays in your calendar provider’s own sharing settings.

What Hetk is not

Hetk syncs events between Google Calendar, Microsoft Outlook / 365 and Apple iCloud calendars, and only those. It is for one person; there are no firm-wide or team plans.

Firm accounts and paperwork

A firm or company account is often a managed Microsoft 365 or Google Workspace tenant that needs an admin to approve third-party apps. If you see “Need admin approval”, your IT department has to approve Hetk before you can connect that account; the admin consent guide has what to send them. Your own personal accounts are not restricted this way.

If your firm needs a data processing agreement first, Hetk signs DPAs on request: email [email protected]. What Hetk stores and where is on the security page.

Pricing

The Personal plan ($15/year) covers up to 3 sync pairs; Professional ($50/year) covers up to 8. A sync pair is one link between two calendars. Both plans start with a 21-day free trial, no card required.

Frequently asked questions

Can anyone at work see my personal appointments?

Not when you sync personal → work with the Replace the details with “Busy” setting. They see a busy block with no title, location or description.

Does a client’s name ever reach my personal calendar?

Not if you sync work → personal with the Replace the details with “Busy” setting. The copy says “Busy”.

Can one client see another client’s meetings?

Not if every sync into a client’s or the firm’s calendar uses the Replace the details with “Busy” setting. They see that you are booked, not the title. Keep the calendar’s name out of the title template too, so the copy does not say which client it involves.

Does Hetk store my event titles?

Hetk stores what it needs to keep events matched, such as event IDs and times. It does not store event titles or descriptions. Details are on the security page.

How fast does a change reach my other calendars?

Changes in Google Calendar and Outlook usually arrive within seconds, through push notifications. A safety check runs every 15 minutes in case a notification is missed. Apple iCloud has no push. Hetk checks iCloud every 5 minutes, and less often for a calendar that has been quiet.
